Adding Files - Catalog menu, Drag & Drop, adding from the OS Context menu
The results of Cataloging Options set to append a Description and with Advanced Cataloging Options -> Properties 'Extract Description' settings are as follow:
- Setting 'Append':
Where embedded Description metadata exists in the file, it is appended to the Description metadata assigned in Cataloging Options. Note that this indicates that Portfolio extracts metadata after it assigns metadata, i.e. metadata set via Cataloguing Options is written before metadata extracted via the mappings in the Advanced Cataloging Options settings.
- Replace:
An embedded Description in the file will always replace a Description assigned in Cataloging Options because it is extracted after assigned metadata.
- Off:
As any embedded Description is not extracted, the Description assigned in Cataloging Options is the only Description data imported.
The results of Cataloging Options set to append Keyword(s) and with Advanced Cataloging Options -> Properties 'Extract Keywords' settings are as follow:
- Merge:
Where embedded keywords exist in the file, they are merged with Keywords assigned via Cataloging Options.
- Replace:
Where embedded Keywords exist in the file, they Replace all Keywords assigned in Cataloging Options (as the assignment happens first).
- Off:
As no embedded Keywords are extracted, any Keywords assigned in Cataloging Options are the only Keywords written.
The results of Cataloging Options set to add metadata to Custom Fields and with mapping to Custom Fields set and turned on in Advanced Cataloging Options -> Mappings are as follow:
- Single-Value Fields - Replace:
- Since single-value fields can contain only one value, there is only one method: Replace
- If data exists in both the file and is assigned via Cataloging Options:
The file's embedded metadata is used, as it is the last to be read it overwrites the assigned metadata.
- If there is no metadata in the file but field metadata is assigned in Catalog Options:
The assigned Catalog Options metadata is used - it is the only metadata imported.

- Multi-Value Fields - Replace:
- Same as single-value Fields.
- Multi-Value Fields - Append:
- If metadata exists in both the file and is assigned via the Cataloging Options:
Both sets of data values are added to the Custom Field(s).
- If there is no metadata in the file but field metadata is assigned in Catalog Options:
Metadata values assigned via Cataloging Options are written to the Custom Field(s).
The results of Cataloging Options set to add metadata to Custom Fields and with any mapping to Custom Fields set and turned off in Advanced Cataloging Options -> Mappings are as follow:
- Single-Value Fields:
- The metadata value assigned in Cataloging Options is written.
- Multi-Value Fields:
- Metadata values assigned from Cataloging Options is appended to any existing values. Note that, unlike with a field mapping, there is no option to Replace.
